How to Create a Mass Message

To create Bulk messaging campaign, go to the section with the corresponding name in your account on our website:

 

To create a new mailing list, click the “New newsletter” button:

 

After clicking the button, the newsletter creation page will open, where you’ll have access to the following settings:

  1. Type of mailing: Scheduled or Immediate. If you select the scheduled option, the newsletter will be sent starting on the specified date and time, during a specific time period each day, and on the selected days of the week, with the option to set an end date for the campaign. If you select “Immediate,” the newsletter will begin sending at the specified date and time and will continue until it is complete, with no time limits, no selection of days of the week, and no option to specify an end date. The second type of mailing is available for all channels except WhatsApp and Telegram.

     

2. Submission type — via the phone number database or the subscriber database. With the first option, messages are sent through your phone number database via a cascade of communication channels; that is, if a number is not found in one channel, the message will be sent through another; with the second option, messages will be sent to the entire list of phone numbers stored in your Message.help project via the communication channel you select.

 

3. Departure Date – the start date of the campaign. By default, today’s date is set automatically, but if you wish, you can specify a future date so that when the campaign is activated, it will begin sending messages only on the specified day.

 

4. Dispatching Date – the date on which the campaign should end. Messages will not be sent after this date. This option is only available when selecting a scheduled campaign type.

5. Dispatching Time – sets the time window during which newsletter messages will be sent.

6. Messages per Day – the number of messages in the campaign that will be sent each day. It is recommended to set this to no more than 300 messages per day to avoid potential blocking of the number due to spam complaints from recipients.

7. Dispatch Days – the days on which messages will be sent.

8. Message Option (three variants are provided by default) – the actual text of the newsletter. You can write three different message versions to make the mailing more varied (version 1 is sent to the first customer on the list, version 2 to the second, version 3 to the third, version 1 again to the fourth, and so on).

9. The “Upload File” button—allows you to attach images, videos, or PDF files to the newsletter.

10. “Client Database” – used to select the list of customers for the newsletter. You can select a customer list from a branch connected to the project using the “Altegio” option, send a newsletter to a list from a connected amoCRM/Kommo account, or send a newsletter using an Excel file with customer data via the “File” option. These options are available when selecting the “By Number Database” mailing type; when selecting the “By Subscriber base” type, these options are excluded, as this type requires configuring the mailing based on your project’s customer database.

 

11. Deal creation — In this section, you can configure the automatic creation of deals in the CRM within selected sales funnels and at selected stages when sending messages using Altegio templates and during bulk mailings. You can choose whether to automatically create deals upon successful delivery, when an error occurs, or when a message is not sent

12. WABA—When you connect the WABA channel, a third option, “WABA,” appears in addition to the “By Number Database” and “By Subscriber Database” sending types. When setting up a broadcast via the WABA channel, you’ll first need to create a template in the “Settings” > “Message Templates” > “WABA” section under the MARKETING category and wait for the template’s status to change to “Confirmed.” After that, in the bulk message, select the “WABA” send type, leave the text field blank, and select the template you created earlier below—the message text will be the one you specified in the template. ATTENTION: If you send a regular mass message via the WABA channel without using a verified template, the message will not be sent outside the 24-hour dialog window.

 

 

After creating the broadcast, all you need to do is click the button with three dots and select “Start mailing” to begin the broadcast:

 

You can also edit the campaign (available only before the campaign starts or after it has been paused) by clicking the same three-dot button and selecting “Pause mailing.” — the newsletter will be paused, but you can restart it later. You’ll also be able to delete the newsletter, export the database, copy the newsletter (creating a duplicate in the newsletter list), and view statistics.

The “Statistics” section deserves special attention—it allows you to view detailed statistics on the messages sent in the mailing list:

 

Status explanations:

Sent Successfully – the total number of messages sent.

Read – the percentage of messages read by recipients out of the total number.

Not Sent – messages that have not yet been sent to customers.

Replies – the number of replies customers sent in response to the message they received.

Error – messages that could not be sent to customers (this status may be due to the customer’s phone number not having the required messaging app to receive the message, or the mailing channel not being authorized).

In Queue – messages that are waiting to be sent.
