Triggers and Their Types

To work more effectively with customers at each stage of the sales funnel, you can set up the following triggers (automated actions):

- Automated task

- Auto-message

- Deal source

- Write off a product/service

- Change of funnel/stage

- Duplicate to funnel/stage

 

Auto-Task

This feature allows you to automatically assign tasks to employees when a deal reaches a specific stage, to remind or notify them of what they need to do.

 

To set up an Auto-Task, follow these steps:  

  1. In the list of triggers for one of the deal stages, select “Auto-Task”

  2. Specify a category

  3. Select the person responsible 

  4. Add a due date

  5. Add a description 

  6. Specify the trigger type: when a deal is created in the stage, when it enters the stage, or when it is created or enters the stage.

  7. If necessary, specify the conditions for the trigger to fire—for example, if the person in charge of the deal matches the selected manager.

Auto-message

This type of trigger allows you to set up automatic messages to be sent to a client when their deal moves to a specific stage.

To set up an Auto-Message, follow these steps: 


1. In the list of triggers for one of the deal stages, select “Auto-Message”

2. Specify the send time or add a new trigger time (time is specified in minutes).

3. Select the channel for sending the message (if you select multiple channels, the message will be sent to the messenger app where the customer is registered). If you need to send the message via all channels to all messaging apps, enable the “Send via all channels” setting.

4. Write the text for the automated message and click the “Create Automated Message” button.

5. Specify the trigger type: when a deal is created in a stage, when it enters a stage, or when it is created or enters a stage.

6. If necessary, specify the conditions for the trigger to fire—for example, if the person in charge of the deal matches the selected manager.

 

Deal Source

 

The “Deal Source” trigger allows you to track where the customer originated from and automatically move the deal to a specific stage in the funnel.

Two sources are available in the trigger settings: 

  • Website

  • Channel

The “Website” source allows you to set up a contact form on your website; when a customer fills it out, they will be directed to a specific stage.

To set up lead generation from your website, follow these steps:

  1. In the list of triggers for one of the deal stages, select “Deal Source”

  2. The default source is “Website.” Leave this setting as is

  3. Add a name for the deal source

  4. If necessary, add an assignee and tags

  5. Next are the field names that are set by default for requests. You can change them if necessary

  6. Next, on your end, configure the sending of requests to our URL and save the trigger.

“Channel” source

The “Channel” source allows you to set up the automatic creation of deals at a specific stage when a customer messages a specific communication channel.

To set a specific communication channel as the deal source, do the following:

  1. In the list of triggers for one of the deal stages, select “Deal Source”

  2. The default source is “Website.” Change this setting to “Channel”

  3. Enter a name for the deal source

  4. Specify the desired channel

  5. If necessary, add a responsible person and tags

Write off a product/service

Products and services can be automatically deducted when a deal reaches a specific stage.

To set up automatic deduction, do the following:

1. In the list of triggers for one of the deal stages, select “Deduct Goods/Services”

2. Specify the trigger type: when a deal is created in the stage, when it enters the stage, or when it is created or enters the stage.

3. If necessary, specify the conditions for the trigger to fire—for example, if the person in charge of the deal matches the selected manager.

4. Set the trigger to “On.”

5. Now, when a deal is moved to this stage, the service/product in the deal will be automatically deducted /

 

Changing the Funnel/Stage

When a deal is moved to a specific stage, you can automatically change its funnel/stage.

To set up automatic funnel/stage changes, do the following:

1. In the list of triggers for one of the deal stages, select “Change Funnel/Stage”

2. Select the Funnel and Stage to which the deal will be moved, and click the “Create” button.

3. Specify the trigger type: when a deal is created in the stage, when it enters the stage, or when it is created or enters the stage.

4. If necessary, specify the conditions for the trigger to fire—for example, if the person in charge of the deal matches the selected manager.

5. Set the trigger to On

6. Now, when a deal is moved to this stage, it will automatically advance to the next stage or funnel

 

Duplicating to a Funnel/Stage

When moving a deal to a specific stage, you can automatically create a duplicate of it in another funnel/stage 

To set up automatic duplication, do the following:

1. In the list of triggers for one of the deal stages, select “Duplicate to Funnel/Stage”

2. Select the Funnel/Stage and click the “Create” button

3. Specify the trigger type: when a deal is created in the stage, when it enters the stage, or when it is created or enters the stage.

4. If necessary, specify the conditions for the trigger to fire—for example, if the person in charge of the deal matches the selected manager.

5. Set the trigger to On

6. Now, when a deal is moved to this stage, it will automatically be duplicated to the new stage/funnel
